Salary: £35,000 – £40,000 (depending on experience)

Hours: 0900-1730 or 1000-1830 (flexible hours)

Overview of the Position

Advance Histopathology Laboratory Ltd (AHLab) is a dynamic rapidly expanding UKAS 15189 accredited laboratory in central London.

We are seeking a highly energetic ambitious Personal Assistant with Medical Secretarial experience. A minimum of 2-year medical secretarial/PA experience and audio typing of 40 WPM are essential, preferably with AMSPAR. Comprehensive knowledge of medical terminology is essential, combined with accuracy and adaptability. Skills in finance and IT or other areas relevant to an evolving business will be a distinct advantage.

The candidate will provide a comprehensive and timely secretarial and administrative service within a demanding but enjoyable team environment. They will support Prof Gordon Stamp and senior management in their activities and ensure the laboratory’s output of diagnostic reports is maintained in a timely and quality driven manner.

The successful applicant will contribute to our high standard of quality and customer care and ensuring all the enquiries to the laboratory are dealt with promptly and professionally.

Key Responsibilities

  • Have a central coordinating role for Prof Stamp and Senior Management responsibilities.
  • Manage patient files for AHL Consultant pathologists.
  • Generate pathology reports (handwritten and/or audio typing) with speed and accuracy.
  • Organise meetings and events such as client negotiations and clinical MDTs preparing reports/slides/blocks.
  • Extract and collate data from various information systems, including database, when required.
  • Handle telephone enquiries for the company, relaying information promptly.
  • Protect patient confidentiality and work within standard operating procedures (SOPs).
  • Prepare, review, and update relevant department SOPs as directed by management.
  • Other tasks relevant to delivering AHL quality agenda and business development as directed.

Education, Research and Professional Issues

  • Ensure that personal training and development is kept up to date by means of CPD.
  • Participate in Mandatory and other essential training.
  • Undertake professional training to develop additional relevant skills.
  • Have a flexible and relentlessly enthusiastic drive to develop the role.

Clinical Governance

  • Ensure the company is centred on patient care and the patient pathway complying with GDPR and patient confidentiality.
  • In conjunction with senior staff, ensure adherence to quality systems and coordinate gathering data for company audits.
  • Carry out all duties in accordance with the requirements of the Health and Safety at Work Act 1974, COSHH and other relevant Statutory Regulations, Company policies and rules.
